In a book printing company, the prepress processes are carried out in-house and the documents progress through the stages and staff entirely in digital form. Content management systems (CMS) were first used by journal and reference publishers faced with processing and reusing large amounts of text data. They are designed to manage the creation, handling, storage and delivery of content for publication, and subsequent revision. Content is stored without print-specific formatting, and typically XML is used to tag the content using standardized templates.

As digital book printing becomes more important, workflows are adapted to hold content in properly archived files, which can then be used to publish products on different platforms. Journals publishers have led the way in creating a production route that enables articles to be published rapidly online. Additional functionality includes workflow management and access control. Such systems monitor the movement of jobs through the stages, and the workloads and performance of staff. Automated alerts track the progress offices as manual or automated sequences are applied. An enterprise content management system (ECM) is content, documents, details and records related to the organizational processes of an enterprise. The purpose and result is to manage the organization's unstructured information content, with all its diversity of format and location. The system manages the content related to commercial organizations. A web content management (WCM) system is a CMS designed to simplify the publication of web content to web sites and mobile devices - in particular, allowing content creators to create, submit and manage contents without requiring technical knowledge of any Web Programming Languages or Markup Languages such as HTML or theuploading of files. Several web-based content management systems exist both in the Open Source and commercial domains.
